General Information

The AWP Conference Bookfair is held in Association with the YMCA National Writer's Voice 20th Anniversary Celebration, and is sponsored by the University of Southern California, PhD in Literature/Creative Writing Program; University of California, Riverside; University of Southern California, Master of Professional Writing; University of Redlands, Creative Writing Program; The MFA in Writing Program, Vermont College of Norwich University; and Saint Mary's College of California.

The Associated Writing Programs (AWP) would like to invite your literary magazine, small press, publishing house, literary conference, or writing program to participate in our 2001 AWP Annual Conference and Bookfair in Palm Springs, California.

Last year, over 1,600 people attended the AWP Annual Conference in Kansas City, Missouri. This year we are expecting our best attended and most successful conference yet. Our schedule of events includes a keynote address by Philip Levine, a reading by and a tribute to Carolyn Kizer, and readings by Sherman Alexie and Mark Doty.

The Site

All conference events and the Bookfair will be held at the Riviera Resort & Racquet Club, which is four miles from the Palm Springs International Airport and two miles from the the heart of Palm Springs. The Riviera is located at 1600 North Indian Canyon Drive, Palm Springs, CA 92262. The Bookfair will be held in the Grand Ballroom.

AWP Conference attendees will be able to make reservations at the special conference rate of $125 for a Single/Double occupancy room or $145 for a Triple occupancy room.To make reservations, call (800) 444-8311 or fax your reservations request to (760) 778-0305. All reservations must be guaranteed with a major credit card, and must be made by March 19, 2001, to guarantee the conference rate. Table Specifications & Fees

Each Bookfair registration—$210—includes conference registration for one person and the rental of one skirted table table and two chairs. All of the tables are 6' long by 2.5' wide. The tables will have visible numbers posted on them that will coincide with the diagram printed in the conference program.

If you have banners or additional display equipment that do not require wall space or that will not block access to the other exhibitors, you are welcome to bring them with you. GES has display equipment available for rental. You will receive more information about the available options when you register or by visiting our Web site. To assure that your organization is listed in the conference program's list of exhibitors, register before February 9, 2001. Table location is assigned by the date each registration is received. Please do not send in your registration without payment. We cannot process your registration with a Purchase Order number. To register online visit http://www.awpwriter.org/conference.htm. If you would like to share a table, or have your table next to another table, please arrange to send your registration forms and registration fees together, or attach a signed memo to your registration form stating the name and address of the organization(s) that will share your table.


Set-Up

We ask that exhibitors plan on setting up their displays in the Grand Ballroom at the Riviera Resort & Racquet Club on Wednesday, April 18, 2001 between 2 p.m. and 5 p.m. Registration will be open from 2 p.m. to 5 p.m. in the Registration/Prefunction area in front of the Oleander Room. You may also set up on Thursday, April 19, 2001; however, please remember that the Bookfair will open at 9:00 a.m. on Thursday. We will break down the Bookfair on Saturday, April 21, 2001, between 4 p.m. and 5 p.m.


Sales Tax

The state of California and the city of Palm Springs do not require the collection of sales tax at the AWP Bookfair. Exhibitors will not be required to register with the the California State Department of Taxation.


Advanced Shipping

After you register with AWP, you will receive basic shipping information from our office. Approximately 60 days prior to the conference, you will receive an information packet from GES Exposition Services, who will handle all storage and shipping of Bookfair material for the 2001 Conference.

All shipments must be shipped to GES Exposition PM. Shipping procedures will be described in detail in the information packet. No shipments should be sent to the Riviera Resort & Racquet Club. For a mimimum of 200 lbs., GES will charge $72.00 per cwt. GES will receive shipments, deliver the shipments to the exhibitors table, store any empty boxes, and return the empties at the close of the show and offer shipping services for outbound deliveries.

GES will deliver all material in their possession on Wednesday, April, 18, 2001, for set-up at 2:00 p.m. The move out and outbound shipping will take place on Saturday, April 21, 2001, starting at 4:00 p.m. GES will also prepare a modified service kit to send out to all exhibitors at least 60 days before the event. This kit will include all shipping information, shipping label, and payment information forms. GES can provide other services as well if requested.

Due to labor union regulations, all shipments in and out of the hotel must be handled by GES.

Remember: Shipments may not be shipped directly to the Riviera Resort & Racquet Club.

When AWP receives your Bookfair registration, we will send you your Bookfair table number and general information about the hotel and travel to Palm Springs. The packet will include all the information necessary to safely ship your exhibit materials. If you are driving to Palm Springs, you do not have to send your exhibit materials to GES. Book Signings

If one of your authors wishes to have a book signing announced in the conference schedule (whether or not that author is scheduled to give a reading at the conference), please send a short 4 to 5 line biographical note and a suggested signing time to AWP by February 9, 2001. The listing in the schedule is free; however, an ad announcing the book signing may also be purchased.

If you must cancel your registration, there is a 25% refund before March 16, 2001, and a 10% refund after that date. All refund requests must be submitted in writing. To receive the 25% refund, the request must be postmarked by March 16, 2001. No refunds will be processed until after the conference.
